Community Center Rules

RULES AND REGULATIONS FOR USE OF THE HAMILTON TOWNSHIP COMMUNITY CENTER

RESIDENCY RESTRICTION:

 

  • Any person requesting use of the building must be a resident of Hamilton Township.  Any organization requesting use must have a majority from Hamilton Township.

 

RESERVATION PROCESS: 

 

  • Person/Organization requesting use of the building shall do so in writing by completion of the attached form and return to the Hamilton Township Trustees at the address above with a copy of valid drivers license.  Forms must be approved by the Township Trustees.  The Board meetings are the second and fourth Wednesdays of the month at 7:30 p.m.  Reservation forms shall be filled out with the requested information and signed by the individual assuming responsibility and returned immediately.  A copy will be returned to you for presentation to the Hamilton Township employee in charge of the building when you arrive on the date and time specified on the forms.  Please leave adequate time for set-up and/or decorate and clean-up in the hours requested.

 

  •  A $50.00 deposit (in check form made payable to Hamilton Township) shall a company the reservation form and will be held until your date of usage.  This will be returned to you by the Township Clerk (1) to (2) days after date of usage.  Failure to comply with regulation 11. CANCELLATION, shall result in forfeiture of this deposit.

 

  • The Hamilton Township Trustees shall have first priority for use of the building to transact and handle affairs of the Township.

 

FEES: 

   

  • Non-Profit Civic Service Groups  -  Membership in the group shall have a majority from Hamilton Township:

                              

$6.00 per hour with use of kitchen

 

  • Churches and Individuals - Limited to Hamilton Township residents and churches only.  Parties, banquets (carry in food), potlucks, wedding receptions, showers, etc.:

 

         $12.00 per hour with use of kitchen

 

  • Businesses or use for profit - Limited to Hamilton Township residents and churches only:

 

         $15.00 per hour with use of kitchen

 

  • Fee shall be paid as a separate item from deposit.

 

USE LIMITATION: 

 

  • MEAL PREPARATION:  Full meal preparation at the center is prohibited.  Caterer service, potluck carry-in or warming in the oven provided is acceptable.  Food and beverages shall be restricted to kitchen and activity room area.  There are no cooking utensils provided, also you must bring your own towels and dish cloths.

 

ALCOHOL: 

 

  • NO ALCOHOLIC BEVERAGES Shall be allowed on the premises.  No intoxicated person to be on the premises.

 

DECORATIONS: 

 

  • Nothing shall be permanently attached to walls, ceiling or floor of any part of the building.  NOTHING IS TO BE ATTACHED TO SIGN OR MAILBOX.

 

CLEAN-UP: 

 

  • Please use caution when in the building such as keeping hands, feet, etc. off the walls.  Clean-up any spills at once so the facility may be kept as nice as possible.  The following items shall be completed in the cleaning up process:

 

  • All trash receptacles including the bathrooms, emptied and replaced with new liners. Trash to be taken to the dumpsters located behind the Road Maintenance Building just north of the Community Center.

 

  • All tables used shall be cleaned and placed along the walls.  Chairs shall be folded and put on the chair rack.  Unless otherwise instructed.

 

  • Floors shall be swept and any spills mopped up.

 

  • Counters shall be wiped as well as any spills on stove or in the refrigerator or freezer.

 

  • Glass doors shall be cleaned.

 

  • Township employee in charge can provide you with necessary supplies.  Also, the employee in charge will inspect the center with the party responsible to insure proper cleaning has been performed.

 

DRESS: 

 

  • Proper dress shall be required, such as shoes, shirt, etc.

 

AGE RESTRICTION: 

 

  • Persons under eighteen (18) years of age will not be permitted in the Community Center unless a part of a group reserving the building and must be accompanied by a responsible adult who has been given a permit to use the building.  Unsupervised individuals will be asked to leave.

 

CANCELLATION: 

 

  • Cancellation prior to forty-eight (48) hours of building use is required otherwise you forfeit your deposit.  Some exceptions such as acts of God or other uncontrollable causes will be considered.  For cancellation call 491-3963, Monday through Friday from 8:30 a.m. to 4:30 p.m., after 4:30 p.m., and on Saturday and Sunday, call Penni Triplett at 491-8397, Judy Campbell at 491-1194 or Phyllis Doersam at 491-7160.

 

RESTRICTION FROM USE OF BUILDING: 

 

  • Any group or individual that abuses the facility or violates the rules and regulations shall be denied future permits and charges for damage shall be assessed against them.

 

TOWNSHIP EMPLOYEE IN CHARGE: 

 

  • Township employee in charge of the building is for security purposes only!  It is the renting parties responsibility for clean-up.

 

OCCUPANCy: 

 

  • The maximum occupancy permitted in the Hamilton Township Community Center is 70 persons using tables/chairs and 102 persons using chairs only.  This is in    accordance with Rule 1301:7-7-27, Article 27 of the Ohio Fire Code.

 

TABLES AND CHAIRS: 

 

  • No additional tables and chairs are to be brought into the building.

 

ELECTRIC OUTAGES: 

 

  • In the event that the electric should shut off during the rental of the building due to storms, etc., the township employee in charge will have to ask everyone to evacuate the building.  Rental fees would be refunded in this event.

 

LOST AND FOUND POLICy: 

 

  • Any personal property found by Township Officers or Employees will be turned in to the Township Office and administered under the Hamilton Township Lost and Found Policy.
